Managing a patient's waiting list entries
A patient can be on many different waiting lists at the same time. You can manage a patient's entries on those waiting lists from Patient Detail > Patient admin > Show pathways > WL.

You can't do this on a mobile.
Managing a patient's waiting list entries on a desktop
Viewing details about a patient's waiting list entry

Open the patient's record.

From Outpatients > Patient Detail, search for the patient.

From Inpatients > Patient Detail, search for the patient.

From Patient Detail > Patient admin > Show pathways > WL, select next to an entry.
Adding a note to a waiting list entry

Open the patient's record.

From Outpatients > Patient Detail, search for the patient.

Select Add Note.

Enter any notes.

Select Save.
Checking and recording that a patient needs to stay on a waiting list
You can check the details of a waiting list entry are accurate and up to date, and check if the patient still needs to be on the waiting list.
If the patient still needs to be on the waiting list, you can record this. For example, if a patient is on a waiting for surgery, you might validate that they still need the surgery.

Find the patient, or the waiting list entry

From Outpatients or Inpatients > Patient Detail, search for the patient.

From Outpatients > Worklists, find a worklist showing waiting list entries that need validating, and double-click on the entry.
The worklists available to you depend on your organisation.

From Patient Detail > Patient admin > Show pathways > WL, select next to an entry.

Select Set Validation Complete.

Enter any notes.

Select Save.
Editing a waiting list entry
You can edit the form that was completed when the patient was added to the waiting list. The form shows the current values, and not the values from when the form was submitted. Changes you make to the form don't cause Nervecentre to send new letters.

Open the patient's record.

From Outpatients > Patient Detail, search for the patient.

From Inpatients > Patient Detail, search for the patient.

From Patient Detail > Patient admin > Show pathways > WL > Active Waiting List Entries, select next to the entry you want to edit.

Select Edit Waiting List Details.
A form appears.

Select fields on the form to edit them.
The fields available depend on the type of waiting list and your organisation.

To save and leave the form, select Close.
Suspending a waiting list entry
You can suspend a patient on a waiting list for a set period of time. For example, you might suspend a patient's waiting list entry if they are unfit for surgery and need further tests.

Open the patient's record.

From Outpatients > Patient Detail, search for the patient.

From Inpatients > Patient Detail, search for the patient.

From Patient Detail > Patient admin > Show pathways > WL > Active Waiting List Entries, select an entry that is not suspended.

Select Suspend Waiting List.

Select a date to suspend from.

Select a date to suspend to.
-
Select who suspended the waiting list entry.
For example, the patient.

Select the reason they suspended the waiting list entry.

Enter any notes.

Select Confirm.

Select Edit Suspension Period.

Select a date to suspend to.

Select who changed the length of the suspension.

Select Confirm.
Reinstating a suspended waiting list entry

Open the patient's record.

From Outpatients > Patient Detail, search for the patient.

From Inpatients > Patient Detail, search for the patient.

From Patient Detail > Patient admin > Show pathways > WL > Active Waiting List Entries, select an entry that has the status 'Waiting List Suspended'.

Select Reinstate.
-
Enter any notes.

Select Confirm.
Transferring a patient to another waiting list
You can move a patient between different waiting lists. For example, if a consultant leaves, you might move the patient to a waiting list for a different consultant.
Depending on your permissions, you can move more than one patient to another waiting list from Outpatients > Manage > Waiting Lists.

To move a patient to a different waiting list:

Open the patient's record.

From Outpatients > Patient Detail, search for the patient.

From Inpatients > Patient Detail, search for the patient.

From Patient Detail > Patient admin > Show pathways > WL > Active Waiting List Entries, select an entry.

Select Transfer.
-
Select the waiting list you want to move the patients to.

Select Transfer.
The patient is moved to the waiting list you chose.
Transferring a patient from a planned elective waiting list to an inpatient waiting list
If a patient is on a waiting list of the type 'Planned Elective', you can transfer them to a waiting list of the type 'Inpatient Procedure'. You might transfer a patient if the target date for the planned elective procedure has passed.

Open the patient's record.

From Outpatients > Patient Detail, search for the patient.

Select Transfer to IP Waiting List.

Select a waiting list.

Select a reason.

Select Add.
Recording that a patient declined their admission date
If a patient is on a waiting list for a procedure, and the patient declines the admission date offered to them, you can record this.

Open the patient's record.

From Outpatients > Patient Detail, search for the patient.

From Inpatients > Patient Detail, search for the patient.

From Patient Detail > Patient admin > Show pathways > WL > Active Waiting List Entries, select an entry with the type 'Planned Elective', 'Inpatient Procedure', or 'Inpatient Other'.

Select Record Declined TCI Date.

Select the date offered to the patient.
-
Select a reason the patient declined the offered date.

Enter any notes.

Select Confirm.
Cancelling a waiting list entry

Open the patient's record.

From Outpatients > Patient Detail, search for the patient.

From Inpatients > Patient Detail, search for the patient.

From Patient Detail > Patient admin > Show pathways > WL > Active Waiting List Entries, select an entry.

Select Cancel waiting list.
-
Select who cancelled the waiting list entry.
For example, the patient.

Select the reason they cancelled the waiting list entry.
For example, they no longer need to be on the waiting list.

Enter any notes.

Select Confirm.
Recording the outcome of a waiting list entry
For specific waiting lists, you can record the outcome of a patient's time on that waiting list. The specific waiting lists depend on your organisation. For example, if a patient needs to be discharged from your care, you can record the outcome of the waiting list to discharge them.

Open the patient's record.

From Outpatients > Patient Detail, search for the patient.

From Inpatients > Patient Detail, search for the patient.

From Patient Detail > Patient admin > Show pathways > WL > Active Waiting List Entries, select an entry that allows you to record an outcome.
If you can record the outcome, Outcome waiting list is blue.

Select Outcome waiting list.
A form appears. This shows:

The current RTT Referral To Treatment. The length of time from referral to treatment. status of the referral

Any booked future activities related to the referral
-
The clinical outcome
-
Any procedures related to the referral
-

From Outcome, select an outcome.
More options appear. These options depend on the outcome you chose.

Select options until Continue appears.

Select Continue.
What appears next depends on the options you chose.
One of the following appears:

Future Activity
You must decide what happens to other activities related to the referral. For example, internal referrals and waiting list entries.
-
Actions Taken / Required
Shows any actions Nervecentre has automatically done. For example, added the patient to a PIFU list or waiting list.
Shows any actions you need to do before you can record the outcome. For example, list a procedure, or book an appointment.

No Actions Required
Appears when you don't need to anything other than record the outcome.

Select Complete Outcome.
-
Optional: depending on the outcome you selected, you can send letters about that outcome.
For example, you might need to send letters when you place the patient on a PIFU Patient Initiated Follow-Up. Allows patients and their carers the flexibility to arrange their follow-up appointments as and when they need them. pathway, or book a new appointment.

Select a correspondence option to change who the letters are sent to.
To not send the letters, select None.
The options you see depend on your organisation.

Select Click to preview letters.
The letters appear in your organisation's PDF viewer.
A list of letters appears on the right. This shows the recipient of each letter and how the letter is delivered. For example, 'GP - MESH' or 'Patient - Manual print'. To view a letter, select view.
You can also see information about the patient's preferred method of receiving letters, and preferred letter format.

Depending on your permissions, if Nervecentre is sending a patient's letter by the patient's preferred delivery method, by Docmail, or by email, you can choose to manually print and send the letter instead.
To manually print and send a patient's letter, select Prevent sending of this letter, I will manually print it instead.

Select Send.
The waiting list entry moves to Completed and Cancelled Waiting List Entries and the referral's status updates to 'Completed'.

Changing the outcome for a waiting list entry
If you recorded the outcome of a waiting list entry, but an error was made, you can change the outcome of the waiting list entry. For example, if you discharged a patient from your care in error, you can reopen the referral.

Open the patient's record.

From Outpatients > Patient Detail, search for the patient.

From Inpatients > Patient Detail, search for the patient.

From Patient Detail > Patient admin > Show pathways > WL > Completed and Cancelled Waiting List Entries, select an entry with a recorded outcome.

Select Undo Outcome.
A dialogue box appears that lists what changes when you remove the existing outcome. For example, the episode reopens, the referral reopens, and the RTT status changes back to what it was previously.

Select Undo.
The entry moves to Active Waiting List Entries.
